Booking Terms and Conditions for groups

Kokkola Tourism Ltd follows the terms and conditions as listed below. A binding contract for the booking party of the travel service is made and made binding on both contract parties when the customer has paid an advance fee on the booking or has paid the advance fee and the final sum at the same time.

1. Payment terms
The booking is confirmed when the customer has paid in the following way: If the service is reserved at the latest 30 days before the start of the service activities, an advance fee of 25 % of the total sum must be paid within 7 days of the booking. The final fee will be paid at the latest 23 days before starting the service activities. If the service is reserved less than 30 days before the start of the service activities, the whole sum must be paid for at the time of reservation, unless it has been otherwise agreed on and noted in the booking confirmation. The payment must be made to a bank, when booking by phone, within two banking days. The time of the service activity, the name and the destination or the name of the product package must be written on the payment order.  If the payment conditions aren’t met, the reservation will be cancelled. Upon arriving in the service destination, the client must show a receipt of payment. 

2. Cancellations
Kokkola Tourism Ltd has the following cancellation terms and conditions: The client has to cancel, without delay, if they won’t be using the travel service. The cancellation must be submitted in writing to Kokkola Tourism Ltd. The cancellation is valid the moment that Kokkola Tourism Ltd, the travel agent, receives the information about it. The reasonable office fees, as defined separately by the company, will be taken as cancellation fees, if the cancellation happens at the latest 28 days before the start of the service activity. For a cancellation made before starting the service, later than 28 days but at the latest 14 days before the start of the service activity, an advance payment of 25 % of the total sum of the service package will be charged. If the cancellation happens later than 14 days before the start of the service, but over 48 hours prior to the start of the service, a 50 % payment of the total price has to be made. There will be a full charge for a service that is cancelled with less than 48 hours of the start of the service. The booking party has the right to transfer the services ordered, at the latest 48 hours before the start of the service activity, to another outside party for the charge of an office fee. If the buyer of a single service or a person living in the same household falls suddenly ill, is in a serious accident or dies, the client has the right to regain the sum paid for the service minus the advance fee and transaction charges. A doctor’s certificate must be shown to prove that the booked travel service cannot be used. The cancellation must be notified immediately. If the use of the travel service is cancelled for other reasons than the aforementioned ones, there will be no reimbursement. For a group service, the same reasons apply when the whole group or a large part of the group have been victims of the aforementioned circumstances.

3. Kokkola Tourism Ltd has the right to cancel the reservation
If there is an overwhelming obstacle, a Force Majeure, that prevents or for a large part complicates the realisation of the travel service, in that case the travel agent can cancel the reservation. The client must be informed immediately in such a situation. The client has, in such a situation, the right to get all the money back. For a reservation cancelled due to a Force Majeure situation, the client’s other possible expenses will not be reimbursed.

4. Damages
The user of the travelling service has the right for compensation for the proven personal injury or damage to property that has been caused by the travel agent’s performance fault, if the mistake or damage is due to the carelessness of the other traders utilised by the travel agent to fulfil the service agreement. There is no right for compensation if the travel agent Kokkola Tourism Ltd can show that there has been no carelessness on the travel agent’s part.

5. Notes
All the complaints related to the services must be told immediately during the service event or immediately after, when there is cause to do so, anyway at the latest within 14 days since it has been possible to do so, directly to the representative of the travel agent or to the executor of a single service activity. If this is not possible, or there is no satisfying result to the matter or there are claims to be made, a complaint must be made without delay to the travel agent Kokkola Tourism Ltd. If the company and client cannot reach an agreement, the client can take the matter to the Consumer Complaints Board.

6. Other notable matters
The client is responsible for the validity of the permits, certificates and other documents (e.g. passport and visa) needed to use the service during the trip. We recommend getting a traveller’s insurance to cover for e.g. sudden illness during the trip and cancellation fees. In situations of fault or accident, we’ll be applying the general agreement and reimbursement policies. On top of these policies, the Kokkola Tourism Ltd applies the valid Ready-made travel law and/or the general the general ready-made travel conditions when applicable to a group travel or travel service. The valid terms and conditions will be published. The company retains the right to alter these terms and conditions.

Valid until new terms and conditions are published. The company reserves the rights to make changes to these terms and conditions.
